Privacy Policy

Aaron Zajonc Photography Pty Ltd (ABN 24 542 030 894), trading as Aaron Zajonc Photography Last updated: October 2026

I'm Aaron, and this is my photography business. Families trust me with their simchas, their kids and their personal details, and I take that seriously. This policy explains, in plain English, what information I collect, why I collect it, how I look after it and what your choices are. "I", "me" and "my" mean Aaron Zajonc Photography Pty Ltd.

What I collect

  • Your enquiry details. When you fill in a form on aaronzphoto.com I collect your name, email, phone number, event date, the packages you're interested in, your budget range, the event details you give me, and whether you've agreed to receive text messages.

  • Booking details. If you book, I also collect what I need to plan and run the job: the address and venue, the timeline, the names of key family members or VIPs, any special requests, and the contract and invoice details.

  • Photos. The photos I take at your session or event. These will often include children, family members and guests.

  • Messages. Emails, texts, WhatsApp messages and calls between us.

  • Payment records. Payments are made by bank transfer. I don't collect or store card details. I keep a record of what you paid and when, and your name or reference as it shows on my bank statement.

  • Website data. Squarespace, which hosts my website, uses cookies and similar technology to keep the site working and to give me anonymous visitor statistics such as pages viewed, browser and rough location. Google reCAPTCHA protects my forms from spam (more on that below).

A note on sensitive information. The kind of event you book with me, such as a Bar or Bat Mitzvah or a Brit Milah, can show your religious background. The Privacy Act treats religious beliefs as sensitive information. I only collect and use it because you've chosen to tell me, and only to photograph your event.

Why I collect it

I use your information to:

  • reply to your enquiry and check my availability

  • quote, book, plan and photograph your event or session

  • send you invoices, a contract and reminders

  • deliver your photos through your private online gallery

  • keep the business and tax records I'm required to keep

  • with your consent only, show some of your photos in my portfolio or on social media, and send you occasional updates (see below)

I don't sell, rent or trade your personal information, and I don't share it with anyone except as described in this policy or as the law requires.

The services I use

I use a few trusted services to run my business. They handle your information for me under their own privacy terms:

  • Squarespace: Hosts my website. Stores the enquiry forms you submit. Runs site cookies and analytics.

  • Google reCAPTCHA: Checks that form submissions come from people, not bots. It collects information about your device and how you use the page. reCAPTCHA is covered by the Google Privacy Policy and Terms of Service.

  • Studio Ninja: My bookings, client records, contracts and invoices.

  • Pic-Time: Delivers your private client gallery, and handles downloads and any print orders you place there.

  • Email and phone (Gmail, SMS, WhatsApp): How we talk to each other.

  • My bank: Receives your bank-transfer payments.

  • Hard drives and online backup: Your photos are backed up on my own hard drives and to a secure online backup, then kept on my archive hard drives.

Some of these providers store data overseas, including in the United States. Where I can, I choose well-known providers with strong security and privacy commitments. By sending me an enquiry or booking with me, you understand that your information may be stored overseas.

How I look after it

  • Your details live in password-protected accounts that only I can access. All client correspondence and information is kept in accounts protected by two-step login.

  • Client galleries are private. They're shared only through a link that I give you, and you choose who else gets it. If you'd like your gallery password-protected, just let me know.

  • I keep enquiry and booking records, invoices and payment records for as long as I need them, including the 5 years the ATO requires for business records.

  • I keep your photos on my archive hard drives after delivery so I can help if you ever lose yours, but please download and back them up yourself too. I intend to keep your Pic-Time gallery online for 5 years.

  • When I no longer need your information, I delete or de-identify it.

  • If there's ever a data breach that's likely to cause you serious harm, I'll let you know as soon as I can and tell you what I'm doing about it.

Your photos in my portfolio and on social media

I'll only use your photos on my website, blog, Instagram, Facebook or in other promotion if you've agreed. I'll ask in your booking contract or in writing. I take extra care with photos of children. I won't publish a child's full name, and I won't say where they go to school or tag anyone without permission.

Changed your mind? Email me at aaronzphoto@gmail.com and I'll take your photos off my website and my own social accounts as soon as practical, and I won't use them again. I can't pull back copies that other people have already shared, saved or printed.

For community and not-for-profit events, the organisation decides how the photos are used. If you're at one of those events and would rather not be photographed or published, tell me on the day or email me and I'll do my best to help.

Emails and text messages (Spam Act 2003)

  • I'll contact you about your enquiry or booking because you asked me to.

  • If you ticked the SMS consent box on my form, I may text you about your enquiry and booking.

  • I'll only send marketing messages, such as availability updates or offers, if you've agreed to receive them.

  • Every marketing message will say it's from me and will give you an easy way to unsubscribe. Reply "STOP" or "unsubscribe", or just email me. I'll stop within 5 business days.

Accessing or correcting your information

You can ask what personal information I hold about you, or ask me to correct it or delete it. Just email me. I'll reply within 30 days, and it won't cost you anything. Sometimes I'll need to keep certain records, for example for tax purposes. If so, I'll explain why.

Complaints

If you're unhappy with how I've handled your information, please talk to me first at aaronzphoto@gmail.com or on 0408 465 464. I'll try to sort it out quickly and will reply within 30 days.

If you're still not happy, you can contact:

  • Office of the Australian Information Commissioner (OAIC): oaic.gov.au · 1300 363 992
